General Terms of Service
When booking a room, if you think you may contract coronavirus, please purchase travel insurance.
While not a five star Hotel, Arrowhead Manor, at half the price or less, has still been compared by many, to be close, in style, luxury, service & amenities. We are voted one of the top most romantic and unique Budget Bed and Breakfast Inn & Event Centers in Colorado, the United States, and the world. We do always endeavor to make every Guest’s stay &/or event here not only wonderful,but also as memorable, as we possibly can. In order that we can do so all persons entering Arrowhead Manor property, Guests and/or Vendors, agree to, all of the following terms and conditions, as each may apply to any, and/or all of the following, or more, including any and/or all of the following: Room &/or Space &/or Equipment Rentals, Stays, Getaways, and/or Spa or other Services, and/or Products.
All persons and/or anyone affiliated and/or associated, either doing business with us, and/or any party or person affiliated, or associated, and/or entering any space, offered by us and/or our affiliated, do fully agree to ALL of the following terms, and conditions;
All persons who have paid to do so are considered our Customers for any products or services they have paid to receive, and/or our Guests for the dates and times that they have paid to enjoy or use any space we offer and/or for the products and/or services they have paid and that such payment ensured and we agreed we would thus provide. We may at times, for purposes of explanation only, refer to them also as Clients, and/or Visitors and or even as friends.
All persons entering any space we offer is/are considered Guests if they booked, paid for, and used a space provided. Any other persons entering, because of those Guest(s) or Customer(s) and/or, because of their guests, are considered the booking/paying Guest’s Guests. This includes any and all Visitors of the Inn, including but not limited to, any person, or business, or party, any Guest (also known herein as Customers), Guest’s Guests, any Maintenance, Delivery, Pickup, Courier, &/or other Service, Assistance, and/or Business Personnel, Inhabitants, Individuals, Businesses, Vendors, etc.. and even all children or animals.
Any and/or all persons using and/or receiving any benefit of any good, product or service, because of any Guest, or Customer, who had no agreement with the Inn, is/are, as it may be applicable, the Guest’s Guests, Guests’s Giftee(s), Guest’s User(s), Guest’s Assignee(s), Guest’s Vendor(s), and/or Customer’s Giftee(s), Customer’s Donor, Customer’s end user, Customer’s Vendor, Customer’s Business, etc.. At all times, Original Customer(s) and/or Original Guest(s), shall forever indemnify and hold harmless, and ensure to fully protect the Inn, the Management, the Principals, the Innkeepers and the business, its Staff, its Affiliates, Vendors, and/or any other Guests, and/or even Neighbors, from any and/or all of it’s the persons using and/or in any way benefiting from such Goods, products, services and/or anything else provided by us or our Affiliates, who received or benefited from that/those as a result of or because of that Original Guests, and/or Original Customer. These persons/entities that have no agreement with the Inn should be and shall be protected by the Original Guests, and/or Original Customer at all times and to ensure that any and all terms, conditions, rules, regulations, agreements, and/or any knowledge is forwarded to, and fully disclosed to, and that/those persons, Visitor(s), Users, etc. by that/those Original Guest(s), and/or Original Customer(s).
Any Customer, Guest, Visitor, and/or as a Vendor, however you agree to work with our Inn and/or any affiliated business, unless otherwise agreed in writing, you agree to the following in working with us, our affiliated business(es) and/or as a Visitor of the Inn. Regardless of how you work with us, our affiliates, and/or as a Guest of our Facility/Facilities, you agree to all of the following terms and conditions, and to ensure the safety and enjoyment of all guests and building inhabitants, to honor all reasonable requests by our Staff/Management/Innkeepers at all times.
All visitors, and even their guests, do/does agree to the following agreements, terms, unless otherwise agreed to in writing with Management of the Inn prior to one’s arrival.
For purposes of this agreement, any person doing business, or conducting any personal matter, of any type, at Arrowhead, shall be known as Visitor and/or Guest. All Guests agree to all of the following Terms of Service and any and all rules (as well as pricing) as they may be posted or changed from time to time at Inn discretion.
Beware to all who enter, you do so at your own risk and you agree to protect yourselves and your party, and as our Guest, it is up to you, and your party, to make sure that you and your a party, and your Guests, and your Vendors, are all responsible for anything and everything that happens to your party, and/or any party, business, &/or person(s), including but not limited to, any and all costs, losses, damages, and/or legal or administrative fees, and for any fees due the Manor for any &/or all stays, services, costs, etc.
>Directions to our Facility: PLEASE use our directions on our directions page! Regardless of check-in time, all Guests are encouraged and advised to print, bring, and follow directions from whatever system they like, until the get to 285, and then use and follow the directions from 285 as they are posted on our website. It is better, safer, and more hassle free to do this instead of driving around and/or trying to call while traveling and usually works out better than using a mapping or or using a mapping device. We are extremely easy to get to and easy to find but the directions can be long to write while driving or not correct if received from one of the GPS or other mapping or directional services &/or engines.
>Hours of operation: Our Business and Management Office Phone Hours are 10:30 am (after breakfast) to 5:00 pm, MST, by calling 303-738-8454, ext 371.
>Check-in/Check-out time: Guaranteed Check-in time (for Guest Rooms and Suites, unless otherwise agreed) begins after 4 pm, on the date of your arrival. A friendly staff member is typically available to assist with your checkin between the hours of 4 and 6 pm. Self check-in is available anytime after 4:00 pm on the day of your arrival. Guests arriving after 6 pm will find the same helpful check-in information we give during regular check-in tours sent to the email we have on file for them, and on a note in the secure front foyer area (monitored 24/7), and in the Guest Information Book provided in their Guest room. Any check-ins after 10:00 pm should be called in and pre-arranged with Inn and we a, and we respectfully ask that all Guests, regardless of their check in time, please be quiet after 8:00 pm, and through 10 am, just in case it might disturb other guests. This includes while checking out if possible. Quiet self check out is available anytime before 11 am. We that all Guests keep noise to a low roar or even on the quiet side, at most, in the main/common areas at all times, and completely quiet in main/common areas between the hours of 8 pm and 11 am. Check-out time with assistance of any type can be pre-arranged (at any time after breakfast) between 9:30 am and 11:00 am, by calling our Inn before 7 pm the night before. unless otherwise prearranged.
>Early Check-in/Late Checkout: Wherever possible, our Inn always tries to accommodate Guest needs in whatever way we can. As one special thing we do here, every single day of the year it is our goal to try to assist all Guests by providing them an early arrival/check in, and/or a late arrival/checkout, or both. We usually will email, and then call, if early arrival is possible. Late checkout can be bid for by each guest either before your stay, or prior checkout. We ask that Guests allow us the freedom from ringing phones and doorbells during our very busy day, as these only prevent all guests in getting in earlier. Calling or stopping by only holds staff up more and prevents our allowing all of our guests, including your party, in early or in checking out late, or both. Early or late check-in &/or check-out in Guest Rooms or Suites may be pre-arranged with our reservation desk for up to 2 additional hours on certain days, subject to many different factors, including day to day and hour to hour changes in availability, and subject to use charges, as is the case with most Inns, Hotels, and/or BNBs. Early check-in or extra time may be also added on to some Events. While no hotel can ever truly guarantee early arrivals or late checkouts, we will do our best to assist, at any time. Just ask. But do keep in mind that early arrival, late checkout, etc, are extras that while they tell you they do, most hotels never truly can guarantee them, especially without prior agreement and arrangement. For this reason these should be requested at the time of booking, or at least be arranged with the Inn at least 3 days to a week prior Guest’s arrival. Please note that while we will assist with your early arrival or late checkout, if we offer it is is free, no charge. Guests who insist on calling repeatedly, or just stopping by, or emailing, one or more times, to see if they can come early or stay late, or drop luggage by, without us offering it, it does affect the early check in or late checkout we would otherwise be able to offer to all the guests for the night of your stay, or checkout, or even in subsequent today’s. allowance we might offer all guests. we do charge as it could mean that our staff or Vendors, may have to come in early, stay late, or work through their lunch or dinner, or breaks. So please let us call you so that you can Arrival of luggage is also considered early arrival. > PLEASE BE ADVISED; We always love to have a guest stay longer if they can and we can accommodate as well. Any guest who leaves belongings in room after 11 am with no word to Innkeepers about their staying another night, or leaving, shall be considered a Holdover Guest. Holdover guests will be subject to fees and charges applicable, including another night’s room rates, and whatever costs the Inn incurs, in getting that Holdover Guests into the same room for another night, (or into another room for the additional night(s) if their room-the room they had been staying in is unavailable), and/or additional charges for any additional costs to Inn for the Holdover’s inconveniencing of the housekeeping company or staff should that person leave that day. Holdover Guests are assumed to be staying the night if they stay and/or their belongings are in their room past 12:00 noon.
PLEASE NOTE: For even large hotels, there are times that it may be difficult, if not impossible sometimes, to get the room(s)/suite(s) ready early, or any waiting space or rental space ready early, or to allow any space or room to be used longer than the agreed period, before or after, or both. Guest(s)/Customer(s) should prearrange if they wish to be arriving or checking in early, of checking out or departing late, before the typically expected checkin and checkout in rooms or suites or before or after the agreed times allowed. Arriving early or departing late may sometimes be allowed by Innkeepers but fees may apply. Fees definitely apply when there is any surprise early arrival and/or check in and/or any late surprise late checkout or departure. Surprise means any early check in or arrival or late departure or checkout for rooms/suites or events, or rentals, because any that are unplanned and not previously agreed beforehand do cause Arrowhead staff to sometimes have to push off other duties to accommodate people not honoring agreed times. Agreed times are specified on your most recent confirmation or agreement in writing. For rooms, suites, and/or for events this applies to an early arrival of any vehicle or other items, baggage, boxes, luggage, or other deliveries, in which case delivery acceptance fees shall apply, and for Event(s), and rooms and suites, this applies to not only the Guest(s) or Host(s) of honor, or those that have booked the room, but also to any other guest of that guest, who might stay and/or use room(s), suites, and/or any event or meeting space, and/or rentals, whether the guests, the Guest’s Giftee, the Guest’s Event Guest(s), Guest’s Vendor(s), &/or Event Attendee(s). Fees are typically $20-$50* per 1/2 hour per person, and up, depending on room or suite type, or event type, and/or rental, plus a fee of up to $75* per person, for any early arrival or late departure of any space at the building by over 10 minutes past the time agreed with the Innkeepers directly at the time of booking, or in subsequent written agreements. If an overnight room rental guest wants to stay later than 12 pm, there is an additional charge of $75/hour. The latests they can check out is 2pm. Guests staying later than 2 pm automatically agree to pay for an additional night as it is too late to clean the room and rent to another guest. Guests also agree that asking for someone to help them with a vehicle or an early check in, because of their preferences or needs, does, no matter what, incur extra fees. Early check in by any person, or vehicle, or item, (even for a wedding, or a concert), or late departure, (even just to stop by and get keys, and/or instructions, and/or to leave a vehicle, luggage, and/or other item(s), or to schedule to come back for an item, vehicle, etc., does incur Arrowhead Staff loss of time in their schedule, fees therefore vary based on time and depth of these early and late requests made outside our checkin to checkout hours. Guest/Customer(s) booking agree to tell all of their Vendors and/or Guests and/or Giftees, the terms and conditions, and Guest/Customer(s) booking agree, in booking with AM, to pay whatever fees are incurred. Guest/Customer(s) understands that Guest should inquire about the pricing beforehand. Early arrival or late departure of any Guest or their Guests, or Vendors, on any Event shall incur a fee to Guest of a prorated amount of the Room or Event or Site Rental Fee as stated in Arrowhead Event Space Terms of Service. Guest agrees to pay these fees.
Damages: Guest agrees to pay for all damages and/or exorbenethey caused when using the room. This includes damage to room or furnishings, damage from using candles in the room, damage from smoking inside the house, damage to bedding, stains that we are not able to remove, etc.
>Occupancy: Unless otherwise agreed and/or unless special pricing is given for less or more occupants, all posted Room rates shown are for double occupancy (a maximum of 2 persons per room per night only, and no additional parties for any time more than 15 minutes per night), unless other arrangements have been pre-arranged with Arrowhead ahead of time. Extra, per person charges will apply for all Guests in rooms or Suites over the regular double occupancy. The extra per person charge is $39-$49 per extra Guest, and up, per night plus per Guest Breakfast Charges as they are posted at time of booking or at time of request (usually $10 to $12.99 per person). This rate also includes additional charges that may be charged for any person(s), or business(es), vendor(s), or service provider(s), who come on site for any reason for any length of time. Even if the booking engine does not see the extra person and include the charge, the Inn has the right to charge this at any time.
>Smoking: For the safety and enjoyment of all Guests, smoking &/or fire of any kind is not permitted anywhere inside our building or in any food service areas. This includes candles and/or smoking of any substance whatsoever. Responsible and careful smoking is allowed in certain designated outdoor smoking areas only, away from other Guests and Guest Rooms, Suites and areas. Smoking is only allowed where signs are posted and smoking receptacles are provided. Not following this policy could cause inconvenience to, if not much unnecessary harm or damage to, the building, it’s inhabitants, the forest around our building &/or possibly to other neighboring people or their properties. For this reason, the local fire department requires that we set our fire alarms and security monitors to be extremely and even overly sensitive. These systems also record and document, which Guest set off the alarm. Any & all charges and losses derived by this inconvenience to our other guests must be paid by the Guest(s) who ignored or did not follow this policy and agreement, and all charges for cleaning as well as any charges related as soon as they are due. The fee ranges from $175 and up depending on what needs to be cleaned. We start by wiping down all the walls and fixtures. If still a smell we steam clean the couch and carpeting. If still smelling like smoke, we dry clean the comforter and curtains. If we have to do everything, it is in the $500 range.
>Children: We love children. Our family’s goal is to one day have an orphanage and a However, Arrowhead is not, at all, childproof in any way, and some of our Guests are actually here to get away from noise and hustle and bustle, including their own &/or other people’s children. Some people are coming here that prefer that there never be children around at all. For this reason Arrowhead requires that bringing any child under the age of 12 is discussed and approved by Arrowhead Management beforehand as we will have to make special arrangements so that our other guests are not disturbed in any way. If we are able to accommodate your children of any age, it is required that all are supervised and well-behaved at all times, including honoring Arrowhead House Etiquette and all of our House Rules. Please note that all children are charged at the same rate as adults, unless charges are incurred by Arrowhead which are then passed on to responsible party. If any children are left behind for any reason, client will be charged a babysitting fee of $17/ and up per hour depending on how many children or how unruly those children might be.
>Pets/Service Animals: We do allow dogs with the following conditions. ADA animals and Pets as follows; ALL animals must pay an Animal in room Cleaning fee. 1. Non refundable cleaning fee of $175. 2. A refundable Pet damage deposit of $250.00 payable at booking. 3. Dog must be crated while in room, especially whenever Customer is at breakfast or near other Customers in any part of the building or grounds. 4. Dog must be kept with owner at all times and always on a leash 5. Any droppings must be immediately cleaned up , or owner will be charged for cleanup 6. Dog is not allowed to be within 10 feet of food prep or serving areas. If any dog is left behind while the client is gone, such animal may need to be moved to a local kennel, and/or the Customer can pay fee of not less than a $29 per hour fur-babywatching fee and up to the full amount of any and all damages, cleaning, costs, expenses, and/or losses as they may be incurred to the Inn, including all losses in room or space renttail revenue not only to Please read other information below.
>All animal leavings or markings made by any animal MUST be FULLY cleaned up by Guest with that animal, immediately after any time such animal has left any leavings or markings behind. For this and other reasons, Animal shall never be left unattended or damages will be incurred and charged accordingly, including those to any staff and/or guest; e) Animals MUST NOT ever be barking and/or in any other way appearing threatening or aggressive, toward any person and/or inhabitant and/or staff member; f) MUST not be doing anything that could damage the property or harm any other person, or cause any issues for other guests; g) ALL animals MUST be pre-approved by Management; h) ALL Pets and/or Service Animal into the property, anywhere, do require a non-refundable pet deposit and cleaning fee of not less than $175.00, and up, depending on size of pet and accommodations rented, and animal areas used; i) ALL animals of any kind brought on site do also require at least a pet/animal damage deposit, of not less than $250.00, and up, depending on accommodations; j) ALL animals causing any additional pet cleaning beyond the above deposit, will also incur additional pet damage fees equal to the amount of any damages, losses, costs, and costs of collection, for any caused by Guest or Guest’s animal(s), of up to $175.00 minimum, and up, as applicable and ALL animals causing any damages will be charged if it is discovered that any Guest ignored this policy, plus any and all damages, cleaning costs, etc, as they may be applicable; k) NO animal may ever be left unattended on the property, and/or left in the room, or anywhere on site, especially in any vehicles, when the guest is gone, for any length of time. Animal MUST remain with Guest and/or have a sitter with it, at all times, if at a concert, dinner, walks, or otherwise; l) If ever Arrowhead has to refund anyone money due to any animal not being properly contained, or if any animal is left unattended, is causing damages or issues that are unreasonable, scaring other guests, or encroaching on any other guest’s space or staff’s space, rooms, stays, and/or in any other way behaving in a way that it should not, including dog barking or loss of bladder or bowel control in areas not so designated, and/or any other damages, the guest bringing the dog/pet/service animal will pay all costs, and/or Inn may ask Customer with animal to leave without notice and without refund, at Inn discretion.
>It is also now a law that NO person shall ever misrepresent ANY pet as a service animal. Customers doing so may be fined, and also reported to all merchant protection bureaus.
>BNB & House Etiquette: As is typical while staying at any facility offering overnight accommodations, Spa Services or Events, Mutual Respect is not only key, but an unspoken rule at Arrowhead or any other housing or overnight facility. Guests are asked to follow the Golden Rules at all time, and to practice good etiquette, politeness, and good manners with others. All Guests, both children and adults, are expected to be respectful of our House rules and BNB Etiquette as posted throughout the building. We and our family, as well as our Staff, are all Every”ONE” AND EVERY”Thing” Friendly and do all believe Everyone should Live and Let Live. But not every other Guest might feel the same, including some we had not planned to arrive, but do, a bit early, or without appointment. For this reason we ask all Guests, while anywhere outside your own room, or while we are in your room, or presence, or other people are, to please act and behave, respectfully toward others, and in a Family Friendly PG or G way, in all ways, at all times, in every way possible. Please understand that this must be the rule for a reason. It is for the sake of all others at our facility. We want everyone here to enjoy their time here as much as possible. Many Guests may be here for different reasons, and most, even while traveling together, have a different way they want their experience to have been. Many may be here to mend broken hearts, broken relationships, or even some might be here to stop theirs from being on their way to falling or failing. So please remember that what is good and fun for you and sexy to you should be kept to your room as it may not be what the other Guests want to see, hear, or be made a part of, in any way. So please, we really mean this, Guests please Keep your Clothes on (literally), and keep it PG, and Family Friendly, at all times, including keeping your smoke, and your other things, on the downlow, and if it wouldn’t be OK with the Priest or Minister, keep it your rooms! Guest(s) asked to leave because they are refusing to honor any of our House Rules or the rules of proper etiquette and at least respectable attire may not be issued any refunds, at House discretion.
>Porter Service/Gratuities/Fees:
Our Caretakers are busy people but we are all happy to provide Porter/Bellhop Service (assistance with luggage, etc), during the hours of 4 to 6 pm, and between 9:30 and 11 am, with pre-arranged our Caretaker’s schedule allows. Porter/Bellhop Service does incur an automatic gratuity for each piece of luggage carried at the price of up to $1.00 per every 10 lbs. carried per room depending on shape, size, and other factors. Porter/Bellhop Service also occasionally may incur extra fees, if Caretakers are asked to transport any item that is overly heavy (over 50 lbs), and/or hard to carry, and/or excessive in its size and/or amount for the guest’s stay (and/or anything above and beyond 1 large piece of luggage, per Guest, per 1-2 days of stay). Porter/Bellhop Services are not able to carry any item or any luggage unless it is a reasonable amount of luggage (1-2 pieces, totally not more than 75 lbs, per every one day of that per person per 3 day stay) brought by those persons who are our Overnight Guests, and at no time are any of our staff able to carry any item or luggage that may be unsafe in shape &/or size. Guests, for their own safety, are asked not to either. We do not suggest Guests should ever bringing anything above and beyond these requirements, anywhere. Especially while traveling, we never would recommend anyone bring anything that has more than 40 lbs per bag, or more than 80 lbs, in one two day stay.
>We are also happy to receive packages or luggage on your behalf, prior to your arrival at times that we can accept delivery. These vary daily. We do ask for a week’s notice and that your deliveries be quick, taking not more than our opening the door and closing it, and that you please, pre-arranged with our Management, not one minute later than one week hours prior notice. We may accommodate last minute requests on this. Please understand that last minute requests cannot always be made.
>Luggage and Belongings must be completely closed, and sealed, to help to avoid theft or tampering (which cannot be guaranteed . ever. unless small enough to fit in our safe-then we can give some guarantee, so please ask) and clearly marked with Guest’s Names, and the date of guest’s stay or event. The fees to receive these deliveries to the Inn prior a guest’s arrival or date is $10.00 per piece plus $2.50 per every 10 lbs in weight, and up, $15.99 minimum), per day, or partial day, for our staff to stop their busy schedules to accept and receive any items ahead of time, and also for the storage of any item(s) received ahead of time. depending on size, shape, and ability to store in Guest’s room during cleaning or if we have to find a safe place for more time than just that afternoon.
>Such fees are nominal, but please ask ahead. These fees will be owed at the time of service, but will be charged to the card on file.
>Tips/Gratuities-
In order that Guests might thank all Caretakers for their service, Arrowhead does try to pay them very well, but Gratuities/tips are of course always also very much appreciated. As you might have seen, Arrowhead is in many ways quite a lot more than the average BNB. For this reason we hire additional staff to help the Innkeepers and their family to assist our Guests in every way possible. Because there are so many people involved we want to be fair with all and all that work here have elected to be part of what is called a Tip Pool. A tip pool means that all tips are shared. Guests are asked to please never pay any tips in cash as it is not fair that only one of our Caretakers gets tips while there are MANY other Caretakers and many other staff and managers, all working in unison, to create a nice stay for our guests. Some work more than others, and harder than others. Just because you don’t see everyone who works here working for you does not mean, at all, that the people you see are the only ones working, or that they work much, if at all. The others who work here usually work hard, and many work the same amount of hours, if not longer, to accomplish our world famous accommodations and services. Because of this ALL people working for Arrowhead, have agreed that ALL tips are shared and will be shared, with our entire A-team. This assures that our staff is always helpful, and always courteous, as they all understand that TIPS stands for, and giving tips to just one person often encourages theft by one person of tips that have been previously agreed as shared Guests are asked instead to pay all Gratuities by Credit Card. To do this Guests may authorize these additional gratuities by filling out one of the Comment Cards provided, and placing these in the black box on the back of the Carport (Guests Side Entrance) Door, and/or by Guest’s calling and asking to speak with the Innkeepers at 303-738-8454 and/or at extension 371. Extra gratuities/tips may be given to Caretakers of the house at any time by credit card. However Guests are asked to please just pay by credit card and never pay anything, at all, with cash, ever, to any person here but the Innkeepers or the Jr. Innkeepers. The reason for this is that there are many people working hard here to get everything accomplished for every guest. All those people deserve to share in the tip pool, and have agreed to the tip pool, a process in which the Innkeepers decide how the tips should be split in all fairness, for all that help us to accomplish all that running a BNB and Spa entails, and in addition to that, all that we are trying to make Arrowhead as we continue to move forward to our dreams. We ask that our guests PLEASE do not pay cash as you’re paying cash to one Caretaker only entices some not so honest staff members to steal tips that should have gone to the tip pool, pretending that the Customer said to. We just can’t have that. Because while you may see only one Caretaker during your entire stay, they are DEFINITELY NOT the only person(s) making all this happen. Believe it or not AM has 2-3 people living onsite to help the 2 Innkeepers, James and Marguerite, and their son, the Jr. Innkeeper, and head Caretaker, Johnny, with all that needs to be done here. And numerous others that don’t live or work here that also help in their own jobs. It takes many hands on deck to offer the 5 star service, and services we do, and the 4 to 5 star accommodations we do, at such low, low rates. This takes a combination of work by many. From the NUMEROUS people living on and off site, who work to make it all possible. We have Numerous Part time to Full time Caretakers, to Double Full time Innkeepers, to the Jr. Innkeeper who works together with the Caretakers, and the Innkeepers, in running all errands, taking care of all Customer Service, and billing, and planning, and executing, and building all that AM Is working to achieve, and doing the MANY things the Innkeepers and Caretakers do and also acts as the ONLY Maintenance Provider and Construction Worker and Laborer we have most of the time, besides the Innkeepers. Then in addition to those people, we have outside people who may come in to provide a one time service, or who work for our Clientele on a more regular basis, like Shuttle Drivers, and many different Vendors including but not limited to numerous spa/hair/nail/makeup, etc. spa service providers and companies, numerous shuttle drivers/limousine drivers and companies, etc.) Some Caretakers may work harder, or more, than the Caretaker(s) and Jr. Innkeepers, work more, or harder, or both, to get it all done, even if the Guest(s) might only see one person the whole time they were here. For this reason, all of our staff agrees when they first arrive only to take their fair share of the tip pool, and that all such tips/gratuities will then be split up fairly by the Innkeepers based on who did what in that 30 day period. Shares are based on how many actual hours are worked, and how much work was actually rendered. Because, believe it or not, there are sadly many (especially those Caretakers who want to take tips directly, that they don’t report , and share with their teammates fairly as they should) who will make a great show of work to guests but are really such great pretenders and are really not workers at all, but big slackers, who spend more time and energy hiding from us, and in their rooms, and/or vehicle, and/or our vehicle, and/or outside in hidden places, (even watching tv in rooms and suites while pretending to be cleaning, or in the laundry room pretending to be doing laundry, or in bathrooms for hours per day), but making a show to guests, than ever, ever working. Because of our Guest’s needs, our Caretakers, are able to enjoy a VERY nice schedule here. Most work less than 40 hours a week and since they have no commute, and live at home, are able to take numerous VERY long breaks during the day, from at least an hour to and hour and a half, at breakfast, plus 1 (to 2 or 3) other 15-30 minute breaks, PLUS another break of anywhere from 1 to 2 to 3 hours for lunch. They don’t have to take as long of breaks as they do, or as many as they do, but choose to themselves, because our arrangement with each of our people as that they can work the hours they choose, so long as they work the at least enough to assure that our guests are fully taken care of in a manner as we have agreed with them the guests will be. So although you see someone early in the day, for breakfast, and again at dinner, even for 6 or 10 days in a row, that does not mean they have worked anywhere near a full day, or full time, ever, that week, that month or that year. Rarely does any staff-member work more than 40 hours per week, in any week. Sometimes they aren’t working at all, sometimes they might be, but maybe they are working only a few days, and on those days, on and off, even during a few days of the week, even if you see them all week long. One of our Caretakers might work 36 hours a week or less, but spreads his work over 6 super short days, with a 20 minute process on the 7th day. While others that LOOK like they work more work FAR less. A great many we’ve engaged hate to work at all, and so they are often found or seen hiding out somewhere (most often their rooms). Needless to say we don’t keep them around long but sometimes finding a replacement can be difficult for a short time. ALL of our staff appreciates SO much if our Guests can help us keep everyone here honest by paying ANY and ALL tips/gratuities by credit card only. (well, except maybe the dishonest ones, who, if you’d just consider, in taking your tips, are not being honest or fair to their very own team mates, meaning they are people who might much more quickly be dishonest as a whole and thus not people we need to keep around Guest’s belongings). This way, we, as the Innkeepers who want ALL staff treated as well as possible, and fairly, assure that all tips are split 100% fairly, and thus those that work full time, and/or work harder to help our guests, get paid more than those that work part time in accomplishing all that it takes to make a place as wonderful as AM (Arrowhead).
>Guests, please note, it takes 4-6 full and part time Caretakers and Innkeepers to run this facility. Guests are encouraged to pay all tips as stated above, to assure that ALL of the Arrowhead A-Team who are all responsible for all that happens, and is possible, here at the Arrowhead, and have all been working on your account, this building, this business, are all able to be rewarded for their efforts.
>Guests are asked also to ask all Caretakers to assist them equally because all tips and gratuities are split between all Caretakers equally based on hours and duties expended by each. Guests are asked to report any tips given directly, or in cash, to the Management.
>Booking, Cancellation, Credit Card & Refund Policies-Our minimum stay is typically 2 nights but we may accommodate your 1 night stay. If we are able to accommodate your 1 night stay, a deposit of 100% will be charged & owed at booking. On 2-night stays, or multiple room or multiple night stays, a minimum deposit of 1/2 of the total estimated charges will be charged at time of booking. Any remainder owed will be charged within approximately 0-30 days of your stay. Arrowhead does, however, reserve the right to collect at any time at its own discretion.
If you need to cancel, all we ask is that you give us 30 days notice in low season, 60 days notice in high, and we will completely refund your full room rate(s) less our refund processing administration fee of 10%. If you have a multiple room booking or an event, or service scheduled, it may be longer, so please ask. If a guest is unable to give the above notice, because time does not allow, or for any other reason, we will, to the best of our ability, try to re-book all rooms. Upon re-booking of all rooms, Arrowhead will promptly refund all applicable room charges that were received upon re-booking, less our 1-10% administrative processing fee of the total booking charges (what it cost us in overhead to book, and to refund the room, and everything in between), along with any credit card processing charges. Any refunds due Customers will be processed after the date of the stay and any refunds owed will be sent via Company check to the Customer as soon as possible thereafter. Usually within 7-21 days, after all accounting has been finalized (credit card charges, Contractors who work for us invoices received, etc.) weeks. 2 or more rooms being rented by persons who are somehow related (families or friends or persons knowing each other and staying at the same time) require 60 days notice in low season and 90 days notice in high. All Cancellations must be sent in writing along with a reason for cancellation to: to Admin@Arrowheadmanor.com. Guests booking one night require the same. No shows are considered the same as a cancellation but the guest agrees that there is no refund or credit due. Moving dates out is also considered a Cancellation and will be treated as such. If customer requests to move a date out, Cancellation policies apply. Should it take a discount to get the new Customer to book a Guest’s Cancelled stay, with short notice, Guest may be entitled to a credit, but it will be less that amount unless Innkeeper has agreed otherwise. If Guest causes the need to refund or recharge any amount, or that Arrowhead switches charges to another card, etc., at no fault of Arrowhead, a 10% administrative credit transaction processing fee of all such amounts will be charged.
>Guests shall also pay for any losses incurred, costs of collection, administrative and other such fees, in the event Guest refuses to pay any amounts due.
>Trip Insurance is highly recommended because, in the event of cancellation, we are not able to vary from the stated cancellation policy, regardless of your situation. Travelex Insurance and other Travel Insurance companies can accommodate your travel insurance needs.
>Gift Certificate sales are final and not refundable or redeemable for cash. Gift Certificates may be reissued, and/or split into multiple gift certificates, and used at different times, for a small administrative fee to the Inn. Gift Certificates not be issued without an administrative fee. Lost or stolen gift Certificates are the responsibility of the Gifter or Giftee. If ever the situation arises that anyone attempts to, or does, use any replacement gift certificate issued, and also, for any reason, the original gift certificate(s) that/those replacement gift certificate(s), was/were intended to replace, full payment is due and payable to the Inn for all charges related to both. The responsibility for that payment shall belong to all parties associated, jointly and severally immediately.
>Requests for Refunds/Refunds;
>If customer requests, or causes the need to refund or recharge any amount, and/or asks that Arrowhead switches charges from the original already paid account, to another credit card, etc., at no fault of Arrowhead, Arrowhead may charge a fee of up to 3-10%, or $10 minimum, to cover overhead and costs, including but not limited to, administrative, and processing and handling fees, credit card/debit card/transaction processing fees and any other administrative costs to the account holder’s credit card.
>I/we agree that at no time shall myself, ourselves, our party, and/or our guests, and/or any business or person related, shall never be owed, nor the Inn liable, for any amount, including but not limited to, damages, losses, costs, expenses, legal or otherwise, exceeding the original purchase price of any purchase made, less any costs of processing, administration, etc. When a refund is due and if any refund is due, it shall only be for that amount of the base rate paid by Client/Customer and/or party to the Inn, for the service, product, good, stay, space rental, equipment, and/or space rental(s), etc.
>I/We Guests agree we shall not ask for, and nor shall I/we be entitled to, and nor shall I/we receive, any partial or full refund whatsoever, on any item(s), good(s), product(s), service(s), rental(s), stay(s), package(s), products, etc., that have been used or partially used unless,
>I/we agree that I/we agree that regardless of when we book, I/we may only be entitled to a refund, and/or any part or portion thereof, at Inn discretion, if a full, accurate and detailed notice was timely given to Inn Management directly, before refund deadline and/or cancellation notice deadlines and/or during cancellation window period, as posted herein, meeting all terms and conditions. I/we must send such notice within refund deadlines and/or cancellation notice deadlines and/or periods as posted herein, meeting all terms and conditions.
AND/OR
>I/we agree that I/we may be entitled to a refund, and/or a part or portion thereof, at Inn discretion, if a full, accurate and detailed notice of my/our cancellation is/was sent to Inn, describing how the Inn has failed to deliver what was advertised, and/or detailing our reason for cancellation and such reason for cancellation meets all Cancellation Guidelines and also meets all Cancellation Notice Deadlines.
>Cancellation of a Stay must be given by me/us to the Inn’s General Manager directly, at the time of delivery of any room, space or equipment rental, and/or before the date of cancellation notice requirement, as follows.
>Cancellation Notice must be sent to the Inn, before the Cancellation Deadlines listed herein unless the Guest has arrived to find that our Inn cannot deliver within a reasonable time, what was advertised and/or agreed at the time of booking or purchase, and/or an adequate alternative rendering myself/us/our party to continue forward with the use or enjoyment of such.
>Cancellation Notice at time of Delivery for Inn’s failure to meet terms of agreement. I/we understand that we may be entitled to a refund &/or a part of portion thereof, if for any reason Inn is unable to meet terms agreed, and/or to deliver what was agreed, for &/or at, the time agreed, &/or to offer a reasonable &/or similar substitution which renders our party unable to use any of Inn’s stays, products, services, rental, and/or other item(s), good(s), product(s), service(s), rental(s), stay(s), package(s), products, etc.. If a room is not ready to check in when a guest arrives, Arrowhead is allowed a reasonable amount of time to ready the room or place the guest in a comparable room. I/we agree that in such situation, it is my/our/our party’s responsibility to call and/or email the Inn’s General Manager, immediately, at the onset of delivery to myself/our party, with a full accurate and detailed notice and description of how the Inn has failed to deliver as agreed. I/we agree that such notice, must be delivered via phone to the General Manager immediately and should also be sent via email to the email group below for the quickest response. I/we/our party agree(s) to cooperate with Inn’s representatives, vendors and/or staff, in attempting to rectify the situation; giving all information, and allowing inspection and repair or restitution of the failure, an in obtaining a solution. If, after this, the Inn is able to adequately substitute or rectify the situation within a reasonable timeframe, rendering us/me/our party able to use the Inn’s stays, products, services, rental, and/or other item(s), good(s), product(s), service(s), rental(s), stay(s), package(s), products, etc. as they were originally agreed, or a substitute thereof, tI/we agree that Inn’s attempts to come up with a reasonable and fair alternative or resolution in the place of whatever we felt was agreed, shall be reason to honor our agreements to pay whatever is agreed, unless a discount is agreed. I/we agree that whatever new agreements are made at the time of delivery, shall be binding, even if such agreements are not made in writing.
>I/we agree that any and all Cancellation Notices must meet the terms listed here and must be made in writing to the email group below, with the exception of the unusual event that a Guest wants to cancel on the day of a guest’s Stay. Guests who wish to cancel on the date of their stay must do so by the earlier of the following; within an hour of the posted check in time of 4 to 6 pm, within 5 minutes of Guest’s arrival to the Inn. Guest must show Innkeeper that somehow the Inn has not delivered what was agreed or advertised at the time of booking. In this event all Guests agree that Notices made in this respect must be made not only in writing, but immediately, by phone, directly to Inn’s General Manager, at the time of delivery (Guest’s party’s receipt) of such, as follows;
>I/we will notify General Manager immediately at the onset of delivery or receipt of ANY problems and of any cancellation or refund requests in writing, and by phone, both. as follows.

>In the rare even that a Guest might feel that Inn has Failed to Deliver the products/services, etc. as they were posted and/or subsequently Agreed, by Innkeepers (all changes must be in writing, with Innkeeper) and/or other reasonable substitution(s), equivalent, comparable(s), or replacement(s)s, within a reasonable amount of time typical of such situation, creating un-usability, a Notice detailing the Full Explanation of Deficiencies and Reason(s) for Un-usability caused by such failure and/or deficiency, caused by Inn, must be called or emailed in, immediately, at the time of delivery, to the Innkeepers directly. Email is required for all situations, unless a call is made by a Customer within the first 5 minutes of arrival, and before use of such room, or product. At these times a call may suffice, and is better than nothing. Such calls or emails should be made to at the above email address(es) listed herein, or as they may later be relayed to Customers. Customers are also reminded that a follow up call is always a good idea and should also be made afterward to, the main phone number for the Inn. This ensures that Innkeeper has the opportunity to immediately attempt to repair or rectify the situation for you, or if unable, to work out something else with the Customer. Customers, Guests, and their Guests (aka Customers) are reminded that time of delivery is considered the earliest of either the commencement time arranged for any event, and/or service, the time of the start of commencement of any such event and/or service, and/or at the earliest of the delivery time agreed and/or actual delivery and/or receipt.
>After hours Emergencies/Phone Support (between the hours of 7:30 pm and through 7:30 am) should be called to the main phone number for the Inn, as well as any Emergencies Numbers provided to the Customers. Currently 303-718-8216.
>Email responses do require more time for a response. For more immediate information, please call the office or the emergency numbers listed above.
>It is rare we miss a call and usually only do if all phone lines at the building are busy. If your call is urgent, especially if you have any problems, please do not leave a message. Instead call back for a live person. It may take several tries, but please do not give up. We try to be better at Customer Service, at any hour, than even large hotels. We can usually assist our guests within seconds to minutes if you have any issues whatsoever.
>Want to add to or change your Booking before you arrive? We love our Customers and are happy to accommodate whevenever and whereever possible. Call 8 am to 8 pm at 303-738-8454. Changes to your booking after your arrival time must be made with the General Manager.
If a refund is accidentally made, that is actually owed, Inn reserves the right to reverse the charges, immediately and/or to recharge the accidental overage that should not have been refunded.
>If a refund is being requested by Customer, Customer shall request such refund directly from the billing office. Such notice shall include a full, accurate and detailed description as to what item(s), good(s), product(s), service(s), rental(s), stay(s), package(s), product(s), etc., and/or any part or portion thereof, Customer/Guest believes Inn/Company failed to deliver and/or provide as it was/they were advertised by Company; and/or were expressly agreed to by Company, at the time of Customer’s booking, thus rendering the Customer fully unable to use such item(s), good(s), product(s), service(s), rental(s), stay(s), package(s), product(s), etc.
>Refund Requests must be made at delivery of product, and/or prior to any Cancellation Notice Period required by Inn for any space, and/or room rental. Customers making other Refund requests must make such requests to Inn Management. Such Customers may be granted such special Refund requests, by Inn Management, at its sole discretion. All refund requests were made to the Inn Management, directly, at the time of delivery of rental of any space or room, or within minutes of commencement of any service, and at the delivery of, and before use, and/or onset of, any service or product. Delivery of any space and/or room rental is considered the earliest of the regularly posted check in or rental commencement time, and/or, if early, the agreed check in or commencement time, and/or the arrival/check in of the first Customer or Guest in that party. Guests or thier Party should checkin at check-in time to assure Guests are happy with accommodations.
>Upon any proper notice of Refund Request, or at onset of any Notice of any problem by Customer to Inn, in writing, or by phone, as listed above, if at Inn discretion, Inn finds that Inn is completely unable to offer a reasonable remedy, or resolution, including but not limited to, Inn’s ability to replace, repair, remedy, rectify the situation, or satisfy Guest in a way that allows Guest to reasonable use of such good(s), product(s), item(s), stay(s), service(s), package(s), &/or product(s), etc., and/or other reasonable substitution(s), equivalent, comparable(s), or replacement(s)s, within a reasonable amount of time typical of such situation, creating un-usability, Customer and Inn may then decide different options to accommodate Guest, including refunds or partial refunds or future discounts, at Inn discretion. Customer/Guests agree that no refund, or partial refund or discount will be offered if Customers or Guests have not brought such issues to the Manager’s attention immediately as it happened.
>I/We agree I/we will not be entitled to any refund after any item(s), good(s), product(s), service(s), rental(s), stay(s), package(s), product(s), etc., have been used or past the use/expiration dates. This means one should call at the initial time of delivery and/or receipt, as no refunds can be offered after too much time/use has transpired.
>Refund reasons: Customers agree in booking with us that No refunds will be given for cancellations outise of our policy. If you are sick, broke a leg, grandma died, babysitter fell through, etc. please understand that does not constitute a reason for a refund. We are just small business and if we have held the room for you as agreed, refunds are not available unless we are able to re-book the room, or the room is canceled within our cancellation policy.
>Refund Overages: If a guest has been refunded more funds than agreed, per our policies, at any time that any person owing any money to our company that is belonging to our company refuses to pay on-time and as agreed, or withholds funds of ours, belonging to us, and not belonging to them, such Customer agrees to pay interest rates of 8% or greater , or whatever amounts and interest it costs our company if we need to borrow those funds elsewhere, and the person(s) owing such amounts to us shall be also responsible for any and all costs of collection and all legal and court costs, as well to reimburse our company for any and all administrative and/or other expenditures as they may be incurred by our company to recover those amounts.
>Cancellations for Spa Services, Shuttle Services, and/or any outside Vendor services-(Spa Services, Shuttle Services, Vendor Services, Affiliate Business Services, Stays, Products, of any kind, etc) in which Arrowhead, or Guests, have arranged with any outside service provider and/or Vendor, may (and usually do) require 72 hours or more notice and/or (as would be the case with wedding/event/catering and other like services through outside Vendors) and Events/weddings/Space Rental/Whole House Rental, etc., may even require more time, as much as 180 days, 300 days, or more, or may not be refundable. Please ask one of our staff members for cancellation instructions specific to your reserved services prior to booking any and/or all services, or stays, or events, or anything else.
>For this reason Guests are encouraged to bring any issue wrong with any Guest’s stay, any product, rental space, space or equipment rental, overnight accommodations, or anything else, related to their account, to the General Manager’s attention at the time of check-in or initial onset of delivery, rendering and/or receipt as no refund will be issued otherwise.
>All refund requests &/or cancellation requests and/or charge-back attempts made by any Guests may be reported to all local merchant / consumer databases.
>Once ANY service has been provided without customer notification DURING the service, that services were not satisfactory, the FULL service fees agreed to by Customer are due and payable. NO refunds are possible. Customers agree that they will honor this policy as well.
>Paying With a Gift Certificate: Reserving a room with a gift certificate is the same as booking with a credit card. We hold the requested room for you. After 24 hours, gift certificate reservations cannot be cancelled or switched to another date without additional charges.
>Chargebacks/Credit Card Dispute: Customers agree when booking the rental of any room or space, for themselves, or their Guests agree they are personally gauranteeing they will remit payment in full, immediately as it becomes due, to the Inn, and theu also agrees NEVER to dispute their charges with any Credit Card Company for any reason for any charges that may due Inn. Instead any Guest feeling any charge is incorrect agrees to call the Inn and to try to come to a reasonable resolution with the Inn. Any Customer ever attempting to file any credit card dispute, that Customer shall pay any and all credit card chargeback fees and an office administration processing fee of at least $95.00 to up to $145.00 per hour for all Arrowhead hours incurred responding to any such charge-back attempts by any Customer, especially for those that Inn considers unwarranted. Chargeback attempts are any time a Customer attempts to dispute or renege on any payment the Inn has charged to Customer for anything taken or delivered to the Customer. Customers threatening chargebacks to attempt to blackmail or coerce Inns to get reduced or refunded costs on good(s), product(s), item(s), stay(s), service(s), package(s), &/or product(s) they owe for cause all of us losses over time. Customers and Companies. Customers doing this do agree to pay andy and/or all costs related, and understand they will pay the Chargeback fees of the credit card companies and administrative fees and understand that Inn may report or adjudicate such illegal behaviour at Inn discretion.
>Gift Certificates: Our Inn is happy to accept gift certificates provided they are disclosed at the time of initial pricing and booking and provided they are not expired by the date of your arrival. All Gift Certificate numbers, processing numbers, account numbers, etc. that are shown on either side of the Gift Certificate and any cancellation date(s) listed (redeem by date) shall be told to the Booking agent (along with what company issued the Gift Certificate, i.e., Arrowhead Manor, or TripAdvisor, or BnbFinder, etc.) during the initial booking call, before the initial pricing and totals can be calculated and any booking prices guaranteed. If using any Arrowhead gift certificate, they are valued at the face value. If using any other gift certificate of any other company or any coupon that charges Arrowhead a fee/fees to redeem or process, such gift certificate shall be applied as follows.
>ALL Gift Certificates, discounts, coupons, must be mentioned at time of booking, and subsequently approved by our Inn Management. Usually on reduced price stays, and/or sale rates, and/or on certain holiday and/or special blackout dates, Inn cannot combine discounts or reissue a room for a new price that was already booked, and due to the high costs of working with 3rd party Travel Agents and/or Online Travel Sites and/or Agenciess, Inn cannot and will not accept and/or later trade out, add and/or apply any 3rd party Gift Certificates, discounts or coupons.
>This means that only on full price stays, may Guests trade Gift Certificates dollar for dollar, or use discounts and/or coupons.
>Inn Management, at its own disrection, might give the Customer the current sale rates, but then the 3rd party gift certificate amount or discount or coupon amount may be reduced to cover the costs of processing that card or the additional discounts. Say for example you have a Bed and Breakfast.com gift certificate that you say, and we are able to verify, has a face value of $100. Since Bed and Breakfast.com charges us 25%, the $100 gift certificate would have an actual face value of (be worth) $75.00 to Arrowhead on already discounted stays, and worth $100 on full, regular priced stays. Inn has the right to charge the correct amounts at any time upon Inn’s understanding that any Gift Certificate has a lower face value and/or if the result is a combined discount exceeding the current sales rates.
>Discounts and Coupons and Credits must be mentioned prior any pricing requests as Arrowhead reserves the right not to honor such during blackout dates and special dates and/or seasons.
>Arrowhead also reserves the right to refuse to honor discounts issued because a Client says they saw a discount we had not really offered at the time of their booking. Arrowhead can at any time refuse to honor discounts that were not really offered but were explained to Arrowhead as being offered by Guests.
> Weather: Although we, at 7970 elevation, do overlook some of Colorado’s most beautiful Mountain views and the beautiful Legault Mountain 8300 ft, Conifer Mountain Valley at 8300′ feet, we are also the closest and most convenient BNB/Inn/Accommodation/Getaway/Event and Wedding Venue and Center to the Denver area. We are not only more convenient but see mostly sun in our valley more often than most places and most days of the year and the weather and the roads and driving conditions are usually great and not an issue. We are nestled atop a beautiful southern facing mountain valley with plowed and paved roads all the way to our door. Our Guests love that we are not on a windy, treacherous, snow filled, icy, or washed out mountain roads while driving here. While sitting on our decks will make you feel as though you are far out and remote, there are 20+ towns less than 20 minutes away (although we are in Morrison, Aspen Park and Conifer are 1.8 miles away), and we are the one BNB/Inn that actually receives food delivery. That we get more sun than Boulder Colorado, and the rare snow melts faster than most anywhere. On rare occasions, Guests should know that the power goes out in any town, but more so in mountain and/or rural areas especially in the winter, or from heavy snows. Although we plow our lot to the front door, we cannot be responsible for power going out when it is not under our control. If the power goes out completely for one’s entire stay, Inn may give a credit for up to 25% of the Customer’s paid rate, to use toward a future stay.
> Hot Tubs/Tubs: PLEASE for one’s own safety, we recommend you bring plastic drink-ware for your rooms and tubs. We do not mind if you use ours, it is available for you downstairs. However, we do not ever recommend that any guest ever carry glasses, plates, dishes, flatware, etc. up and down staircases, through the building, and/or into any tubs, beds, decks, etc. We also ask that guests do not take into the tub anything besides clean bodies. Unfortunately we do have to charge the Guest for any additional unusual breakage or repairs of tub due to guests not honoring this request-i.e., if we have to do any type of glass removal, rose petal removal, cigars/cigarettes, candle wax, chewing tobacco, drinks, food, etc. spilled in hot tubs, or tubs, depending on the complexity of the cleanup and/or repair.
> Entertaining, Cooking, Parties, etc: Guests are provided plastic cups in the main areas. Guests are advised never to use glass or to use sharp or hot items while at the building. Especially going up and down stair cases, in tubs, bathrooms, hottubs, or anywhere else. All parties &/or events held at Arrowhead do incur charges. If you think you will be wanting to Serve &/or entertain at the Manor, you will need to have every detail of that party &/or event (for 1 person to 200 people) pre-approved by the Arrowhead, or you will be charged at Arrowhead’s regular and currently published rates for renting each individual space in the building, at Arrowhead discretion. Sorry, no exceptions. To avoid any unwanted charges, Please call ahead for prices &/or availability before ever entertaining at Arrowhead.
> Charges: By booking with Arrowhead all Guest(s) staying at, Visiting, or in any way receiving goods, products, rentals, stays, services, and/or anything else from, Arrowhead, do jointly and severally and individually agree to pay for any & all charges incurred during the related stay &/or event at Arrowhead, as soon as it is requested, &/or discovered by Arrowhead. This includes any & all services and incidentals requested, authorized &/or used by Guest including but not limited to, incidentals, extra Guests, extra services and or purchases, long distance charges, damages &/or theft, for, or by either the Guest, Guest’s Guest, or Vendor. Should Arrowhead ever discover that a Client was given a discount based on incorrect information given by the Client, of any kind, Arrowhead, at its discretion, may waive such discounts, and Customer/Client agrees to pay such additional charges resulting. Client also agrees that if at any time Inn determines that Customer/Client, or its party, had, or has, or will, cause Arrowhead unnecessary additional costs after an account is paid, because a Client is trying to evade payment, and/or acting hostilely or in a threatening manner, or refusing to amicably cooperate to get to an end result on a transaction, Arrowhead does reserve the right to bill Client for all additional charges incurred. Client and Client’s party, do agree severally and individually, and jointly, to pay for all such charges as they might be incurred.
>Insurance: Any and all persons entering Arrowhead does/do so at their own risk. All Guests, Customers &/or Vendors, while at Arrowhead, agree that they, and all people related to their stay, &/ or event, are enjoying Arrowhead and all of it’s amenities at their own risk, and Customer is assuming all liability and risk and will forever indemnify, and hold harmless, Arrowhead, it’s affiliates and principals for any related charges or costs. They further agree that Arrowhead will not be liable for and nor will Arrowhead be liable to pay any losses or damages to any person, Guest or anyone otherwise related to any inquiry or any stay or event, whatsoever. All persons booking with, and/or entering, Arrowhead, as Guests of the Manor, or as Guests of any Guest, agree they are completely self-insured for any event &/or stay &/or for any other reason they are at Arrowhead and that they will be personally, and severally, liable and responsible.
> Severability Waiver: In the event that any provision hereof is found invalid or unenforceable pursuant to judicial decree or decision the remainder of this Agreement shall remain valid and enforceable according to its terms. The failure by Arrowhead to avail itself of any right or enforce any obligation of this agreement shall not be deemed to be an ongoing waiver of such right or obligation or of any other right or obligation.
> Jurisdiction: This agreement shall be governed exclusively by the laws of the State of Colorado, USA, without regard to any conflicts of law provisions thereof, as a contract entered into and performed entirely within the State of Colorado. Any disputes between the parties relating to the subject of this agreement shall be submitted exclusively to the jurisdiction of the state or federal courts located in the State of Colorado, Counties of Jefferson, and the parties expressly consent to personal jurisdiction and venue therein and waive any objection based on forum non conveniens or otherwise.
> It is the responsibility of each Guest, to ensure that they and their Guests and Vendors have received, and fully understand, and agree to Arrowhead Terms of Service, prior to making any stay, event or engagement at Arrowhead. It is also the responsibility of each Guest to ascertain that each Vendor or Guest in their party does also receive and understand this same information, prior to any event, and that each does agree to all Terms of Service. Guests booking with &/or entering Arrowhead, & their Vendors and Guests do agree to all Wedding & Events Terms of Service, Guest, or Vendor signs the agreement or not.
> Arrowhead Manor reserves the right to refuse to honor any misquoted or incorrectly stated prices. Prices are always subject to availability, taxes, surcharges, gratuities, and subject to change at anytime without notice.
> All Guests or their Guests or Vendors agree to Arrowhead’s submittal of their name, address and details of any problems related to their stay to National and International Merchant Data Collection databases.
> Packages/Changes to packages-I/we agree that if the Inn and/or ourselves and/or our Guests, has to, or does, make any changes to accommodate myself/ourselves/our Vendors and/or our guests, due to our/my actions or my Guest’s and/or Vendor’s requests, to accommodate us, and/or our guests, that I/we are liable for, jointly, individually and severally, all applicable costs and damages resulting, and must pay for not only the original package charges agreed to, but also any such changes/additions/add-ons/extra accommodations, as they may be requested, and/or are rendered and/or become a part of our event/stay, immediately as they are incurred, and/or as soon as we are notified of such additional charges. I/we agree that any changes made by the Inn, to any part of any good(s), items, rental(s), product(s), service(s), stay(s), etc.
I/we agree that if I/we accept or refuse to accept package, that our acceptance of any refusal or denial to accept any other part of the package does not in any way relieve myself/us of paying for that package and/or any part of the package.
> Negative Comments, Opinions and Postings: I/we and all persons, Person(s), Guest(s), Client(s), Customer(s), Vendor(s), Business(es), Vendor(s), Tourist(s), Professional(s), &/or any other Person(s), who are related to myself, ourselves, our party, and/or anyone related to those persons, or any person related to those parties, in any way as a result of any such relationship, do hereby agree that in our doing business with the Inn, or setting foot in the inn, or buying anything at all from the Inn, do all agree to the following terms and agreements.
>I/we agree that any derogatory statement or comment, made verbally or in writing, at any time about any person, or business, can and usually does, cause that person or person’s, that business, and/or other or additional affiliated businesses, significant financial, mental, emotional, and/or additional other kinds of damage and harm, as well as resulting losses, damages, costs and harm. Some very far-reaching and costly. For this reason, I/we agree that I/we/our party and anyone related to us or our party, in any way, shall shall never make even one derogatory statement or comment, verbally or in writing, or post, use or disseminate, any photos, documents, or other documentation, or information, at any time, about any person(s) or business(es) affiliated with Arrowhead, and/or about Arrowhead, and/or about any goods, services, products, stays, or anything else provided by Inn or related parties, staff, management, or related parties, and especially using any person’s name or likeness, unless such comment or statement, or publishing, is true and correct and has been proven to be legal and factual in a court of law. I/we/our entire group/party, do hereby agree that unless proof of such statement has been determined as a complete fact by the local legal system in a court of law Arrowhead shall have the right to tell its side of the story anywhere and everywhere Inn deems necessary, in whatever ways it has the means to do so, and to use any and all documentation and information, photos, audio and video tapes, etc. at its discretion, as Inn deems necessary to prove its innocence or to tell its side of the story, including but not limited to, publishing, &/or causing to be published, the facts surrounding any complaints or derogatory comments regarding Inn and/or any of it’s affiliates, in any format Inn deems necessary, including but not limited to, print, newspaper, television, radio or on internet complaint sites, blogs, merchant protection associations, and/or systems, consumer bureaus, You review Bureaus, and the like, as well as any and all public and/or private internet forums. I/we/our entire party does also agree that Inn, at its discretion, may also publish and produce copies of any and all tape recordings of phone calls, conversations, common and event space video/audio recordings, Customer documents, invoices, as well as personal accounts and recollections as they may be recalled by each and every person who, in any way, may have been a witness to any part of the matter, or who may have information about the matter, online and/or in any other place. I/we agree that we shall not ever use the first names of any person in any review and I/we give Arrowhead full authorization to require that Internet review sites remove and not repost or reuse, at any time, and postings written by us/me about such account. I/we agree that if I/we/our party ever uses anyone’s personal name(s) that Arrowhead may also use my/our/our entire parties’ full legal name(s), and/or any names any of us has been known by, and/or both to tell its side of the matter, or to prove its innocence, or both. I/we also agree that Arrowhead and all parties related to Inn in any way shall also have the right to ask myself/ourselves and anyone involved in publishing any negative information about the Inn, or any related party, in any way verbally, or in writing, and everyone involved, to adjudicate such a matter in a court of law in Arrowhead’s jurisdiction and that Arrowhead may ask the court to issue penalties, fines, imprisonment &/or any other punishment due for any and all crimes I/we, and/or any related party has done toward the Inn, including but not limited to, publishing such information about Inn or Inn staff, management or related parties to the Inn. This includes if I/we have ever used reviews as a means of coercion, or blackmail, and also if I/we have in any way been guilty of anything else, including slander or libel. slandering or muscling, in any way, and/or any type of attempt at coercion, blackmail, or even harassment or racketeering, etc., I/we agree that we will be bound by the laws of the state(s) in which that/those crimes were committed. if it is determined that I/we have broken any laws in so doing, I/we specifically hereby agree during such court proceedings I/we will immediately remove and retract any and all such postings and/or publishing and replace with the truth as it has been proven by Inn and that I/we will not further engage in negative comments or other slandering or libel of Arrowhead, it’s affiliates, &/or principals, staff, &/or management, &/or anyone related. I/we agree if any court ever finds us guilty of any crimes against Arrowhead or anyone affiliated, including, but not limited to, any of the above, I/we agree that we will immediately pay all costs of restitution, and also at the same time, immediately remove any and all postings, publications, etc., and to assist Inn in immediately causing the guilty person(s)/parties to redact, any published, complaints or derogatory comments regarding Arrowhead or it’s affiliates, in any format, including but not limited to, print, newspaper, television, radio or on internet complaint sites, blogs or other public internet forums and to immediately tell the truth and no less on such matters. I/we agree that should there be a breach of any part of these conditions (regarding Negative Comments, Opinions and Postings:) by myself/ourselves, our party, in any way affiliated with Arrowhead Manor, it’s affiliates, &/or principals, staff, Management, and/or affiliated, or non affiliated, and/or associated Vendors, and/or anyone else related to Inn in any way, that Inn, or affected party, related to Inn, shall each, be considered as one individual, and each individual affected, be entitled to at minimum, a fee of liquidated damages in the amount of $2500.00 minimum and up for each such publishing, individually, and/or comment made individually, and/or for each written or verbal statement made individually. I/we agree that if said breach occurs on any Internet complaint site each hit (visit by any party) proven to have been made to that page on that website will be considered an individual breach of this condition, and each is subject to not only the liquidated damages above, but also to any and all additional liquidated damages of a minimum of $2500 per occurrence that the judge deems to be due. Further, I/we agree that Arrowhead, its affiliates & principals, staff and management, as well as all other parties affected, shall each be entitled to litigate this matter, and obtain the money damages together with injunctive relief separately and individually. I/we also agree that if the it is determined that I/we have committed any crime, whatsoever, toward Arrowhead, and/or that I/we have caused undue loss and/or suffering to Arrowhead and/or to its affiliates, management, and/or staff, and/or anyone affiliated, that the person(s)/party/parties I/we have commited any crime against, in any way, and thus are the prevailing party/parties, shall each be awarded by the judge and/or jury, any and all additional amounts necessary to pay any and all attorney’s fees and any and all all other fees incurred by Arrowhead, including costs of collection and a minimum of $190 per man hour per person affected for time lost for week in dealing with the matter, defending against the matter, in any way. I/we also agree that Arrowhead and its affiliates shall also be entitled to refute any such statement by stating all pertinent facts & opinions surrounding the complaint, the complainant, including but not limited to, complainant’s comments, behavior, requests, statements, and etc. And that the Inn, and all parties affected shall be entitled to seek adjudication and relief, and damages and costs, separately. I/we also agree that any party so damaged, at their own discretion, may report each and every event and/or any of the above, to any and all public and/or private affiliations and/or associations and/or information repositories.
>Additional Event / Party / Wedding Terms and Conditions;
ARROWHEAD MANOR CEREMONY/EVENT/MULTIPLE ROOM RENTAL TERMS OF SERVICE AGREEMENT
>NOTICE TO CLIENT: You, the Client, by renting Event Space &/or rooms &/or other wedding or elopement services, from Arrowhead Manor, Inc., or agreeing to, or using &/or ordering such services &/or other items listed herein, while at Arrowhead Manor, You, your related parties, and guests, & you and every visitor, guest, Vendor, or party here, as they may be connected in any way, are considered “The Client” whenever blocking or reserving a block or rooms &/or an event space and/or holding or enjoying any party, event, celebration, or similar, and/or multiple room or suite bookings, and/or related overnight stays. Client and all of Client’s party do, in holding any party, or above, at Arrowhead, do all agree to the following terms and conditions:
Client agrees that if they hold an event or space rental at Arrowhead, that packages are not reliant on the quality of, or the delivery of any photos taken as a freebie, included in packages, for Client. Client agrees that any and ALL Photos taken by Arrowhead and/or any other party while at Arrowhead are the property, solely, of Arrowhead, forever. Client agrees that Arrowhead may refuse to allow use or dissemination of any kind of any such photos at any time. Client agrees that the Inn does not have to continue to work with Client at any time, in any way, including to deliver the remaining part(s) and/or portions of any item(s), good(s), product(s), service(s), stay(s), rental of equipment or spaces, to provide assistance, or photos, of any kind, if Client is acting belligerent or threatening manner toward anyone or causing problems for the business, its staff and/or management, and/or for any one affiliated, as well as for any other guests. Especially if Inn feels that Client is hostile, and/or threatening, toward the Inn or its affiliates or its guests.. Client also Client agrees never to alter or destroy, or use, or disseminate, any Inn property or to use Inn property except for in the manner in which the Inn, at its sole discretion, decides Inn property shall be used. Client agrees that the same is true for photos which are the property of the Inn. Client agrees that any and all photos taken are subject to Inn approval and that Client shall not alter, destroy, use or disseminate such photos without Inn approval, and/or use them for any reason other than personal use. Client agrees that Photos taken by Arrowhead are Amateur photos only and that Arrowhead will not at any time retake or edit photos for Client for any reason unless Inn determines, at its sole discretion that Inn should retake photos, or that Inn wants to edit photos in the way Inn wants to edit such photo(s). Client agrees that by downloading or accepting delivery or receipt of any one picture, they are are accepting delivery of all photos and pictures taken, and that this is also acceptance of the package. Client agrees that in accepting any goods, products, service(s), stay(s), packages, photos, or etc. from Arrowhead that, by doing so, that they individually and jointly with all persons in their party do agree to all of Arrowhead’s terms of service and to pay the correct prices for each. Client also agrees that if client has made last minute changes during an event that the Inn shall be entitled to add final charges at any time they discover such extra charges were incurred. Even if a final total has been discussed prior to the Inn’s understanding of such additional services. Or if a bill has been determined at a later date that is different because Client received discounts based on dishonest dealings by Client. Client also agrees that if they ask for a discount after an event or service has already been provided, that Management must approve such discount, in writing, and that no discount will be due if such Client has already been provided a discount on any other part of their event or service. Client also agrees that Client will no longer be discounted (and Client will be charged at market or posted rates) if Client becomes a Hostile Client or a Client causing Arrowhead or its affiliates any extra work or administrative or other costs over and above the additional agreement at no fault of the Inn.
1.For the purposes of this notice & terms agreement, Client agrees & understands that “Event” is meant to describe any Event, Party, small or large “get-together”, “shower”, photography session, spa service, hair, nail or makeup service, or the use of any shower or other Arrowhead amenities or the like or wherein a staying Client or Guest of Arrowhead or of Arrowhead’s Guests, any person paying to stay overnight “entertains” any staying or non-staying Guest. Your Clients, also known as a Client’s Client(s), is/are anyone attending any such event, party or “get-together”, including Bride, Groom, any Client, any Guest, any attendant(s), any child or children, etc., who is watching or attending the event, including Vendors. Client’s Vendors are Musicians, Caterers, Officiants, Photographers, Vendors, Valets, Bartenders, or their employees, etc. who are not watching but rather just assisting with event. Client’s Guests &/or Client’s Vendors also agree to House Rules & Terms of Service Agreement. Non-Preferred Vendors incur additional time, rental charges &/or fees-Client should ask first. All of these people & children who are there to watch and attend &/or eat, count as one Guest each. I/we agree that any and all questions we have, ever, any of us, about the event, or before, during, or after the event, will ONLY be directed to whichever Innkeeper, or Coordinator, has been assigned to our account at 303-738-8454 ext 371.
If Event has more than just Bride & Groom (2+ Guests), Client will appoint 1 Attendant to every 10 Guests to assist Client with decorating, receipt of deliveries, etc. One of these Attendants should also be named as Point of Contact (POC) & one as Master of Ceremonies (MC)-can be one in the same. POC will be responsible to assure that all Guests & Vendors are adhering to Arrowhead rules & requests & to handle all communication & decisions for Bride & Groom during the Event. MC (usually also the DJ or non-Arrowhead Officiate) speaks to Event Guests to keep everything moving on schedule. Deliveries, décor and decorator attendant arrival should not occur any earlier than ¼ hour before ceremony or reception agreed to for each 1 hour of actual and paid event time.
Unless otherwise noted, in writing by Inn, Overnight Guest Room/Overnight Guest Suite Check-in is at 4:00 pm, check-out is 11 am. Early check-in or late check-out may be pre-arranged with Express Inn Management Approval. This does incur fees. Please ask beforehand. Guests arriving at a wedding must come NO earlier, and no later, than 15 minutes prior the event time (agreed to in writing only) for 16 guests or less, or between 15 minutes and 30 minutes early for events with more than 17 guests (not including bride and groom who may arrive earlier, as agreed to, in writing only). ALL other arrivals, including but not limited to, ALL vendor and decorating party guest arrivals and all rental and/or cake and/or flower and/or other drop-off times and arrivals MUST be pre-approved and should occur no earlier than 1/2 hour prior event to 1 hour prior event, depending on event size, at Inn discretion.
All vows, music, etc., every detail, should be pre-approved by Arrowhead, to avoid schedule delays or additional costs and to keep event running smoothly. No discounted rates will be offered, nor any refunds will be issued, due to last minute changes or if Arrowhead has to change something or add time due to such reasons. Guests agree to pay all additional charges for overtime/changes, etc.
Arrowhead loves children too but we are not “child-proofed” in any way. Therefore Arrowhead assumes no liability whatsoever if any Client chooses to bring or allow their Guests to bring any child or children to our Facility. All children must be watched by their Guardian, Parent or Sitter at all times at a ratio of 5 adults to each one child, although more adults to children is highly advised for the safety of all. Arrowhead will assess a charge for child care/babysitting of $39 & up per hour, &/or extra cleaning fees, as applicable, if Arrowhead staff or management is forced to do either &/or may ask that any child or children be removed at Arrowhead discretion if we feel it is necessary for any reason, including for safety &/or to protect the child/children, or other Guests, the building inhabitants, &/or to protect Arrowhead property, plus damages, if any.
Rough-housing, stomping, running, yelling, fighting, wild partying, overly loud noise, risqué dress or actions &/or any other behaviors that might cause damage to Arrowhead’s or Guests’ person(s) or property or which might interfere with another Guest or Client’s experience are prohibited. Anything over minimal noise before 10 am or after 10 pm is also prohibited unless pre-approved. Arrowhead shall exercise full control over all music playing, and any other noise, or event detail, in all common areas unless pre-approved by Arrowhead. All Vendor services must be self-insured & pre-approved by Arrowhead & also agree to our terms of service.
All of the common areas are monitored &/or recorded on video and all rooms have an inventory taken between each Client or Guest. If a Client or Guest would like to purchase something, charges will apply – please ask. Defacing, vandalizing or theft of any kind will be charged for as soon as we have knowledge of it & may also lead to prosecution in a court of law.
Decorations of every type must be pre-approved, in writing. No fireworks, candles, rose petals, confetti, birdseed, rice, glitter, tape, nails, glue, tacks, “sticky” or “clingy” items, drawings, etc (anything that might cause damage to the property). Prearranged bubbles in certain areas only. No candles of any kind unless prearranged with Arrowhead unless they are flameless and battery operated.*
Smoking receptacles are provided outside of the building. Smoking is never allowed in any other place, indoors or out, at Arrowhead. Anyone caught smoking anywhere but in the outdoor designated areas, or caught “flicking their cigarette butt” on our Mountain property will pay any & all charges &/or damages incurred by Arrowhead, including our cleaning fee & any & all other fees assessed by the local nearby Outdoor space, Fire Marshall, city &/or county, &/or government.*
The arrival of the first person (Client, Client’s Guests, Vendor(s), Officiate, Clergy, Planner, Decorator, Photographer, makeup or hair provider, etc.) & the departure of the last person, including final clean-up to original condition, are what determines Client’s ceremony commencement and departure times. Payment will be owed and will be prorated to the next highest ½ hour for all time incurred. It is less expensive to prearrange for anyone arriving early to rent additional time &/or room(s). Cake & Food Deliveries must also be pre-arranged & preapproved & not more than 1 hour prior ceremony time. Client assumes all liability, responsibility for each. Early arrivals &/or staying late will incur additional charges, at the hourly rates posted at the time of your booking. Be sure to inquire beforehand.
For elopements for 12 people or less, the full amount is due at time of booking. For events over that amount a different payment is required. Please ask for more details.
Client may reschedule their event (within 12 months) and their stay (within 24 months), at Arrowhead discretion, due to inclement weather for a like day and time, or pay additional if preferred date & time, at mutual discretion, if, Hwy 285 is completely closed to local traffic at mile marker 239 on the original date of event.
Event may be cancelled, rescheduled, refunded or prorated, at mutual discretion, with adequate notice, usually 180 days in low season, 360 days in high season, with occasional dates needing 540 days. Refunds, changes or pro-rations may also be made, at Arrowhead discretion, on any Event cancelled or changed with less notice if an event or like type and caliber is booked for that day. No refunds or prorations will be made for last minute reductions to any totals or services. Nor will any refund be due if Arrowhead is forced, at Arrowhead discretion, to ask someone to leave due to abuse of any Arrowhead Policy or procedure listed herein or elsewhere.
Client(s) agrees that Arrowhead, & their officers, directors, members, employees, agents, &/or representatives &/or any affiliated organizations shall not be held liable for any losses, damages (including attorney’s fees, court costs, &/or any consequential damages), for detention, delay or failure to perform in whole or in part resulting from causes beyond its control, including but not limited to acts of God, acts or omissions, fires, weather conditions, power failures, strikes, riots, embargoes, delays in transportation, inability to obtain supplies or requirements, or regulations of the United States Government or any other civil or military authority (to include any local legislation regarding liquor license or other special permit or permit requirements). Delays or non-performance excused by this provision shall not excuse payment of any amount due hereunder owed at the time of the occurrence. If an event is cancelled in whole or in part because of a force majeure condition as described here, Arrowhead shall only be responsible to prorate a refund from the amount paid to Arrowhead by the Client or to reschedule a new Event date and time for the Client within 12 months, at mutual discretion, & nothing else.
Client(s) understand(s) & agree(s) that Arrowhead is leasing all furniture, fixtures & spaces &/or rooms & that Client(s) is/are, in turn, subleasing such, as applicable. Therefore Client(s) assumes all liability for entire event. Arrowhead will not be responsible for any loss, damage, or injury, bodily or to property that may occur at any function, event &/or stay, from any cause, whatsoever, prior to, during, or subsequent to the period covered by this contract. The Client(s) hereby assume(s) entire responsibility for event &/or room rentals & agree(s) to forever protect, indemnify, defend & save Arrowhead Manor & its employees, &/or officers, &/or any owners of any property leased to Arrowhead, harmless from & against all claims, losses, expenses included without limitation, attorney fees, security expenses, damage, environmental charges or fines arising out of or caused by the installation, removal, maintenance, occupancy, cleanup or use by Client, Client’s Guest(s) &/or Vendors &/or Arrowhead Manor & its Vendors &/or employees. In addition, Client acknowledges that Client and not Arrowhead maintains adequate insurance for this Event &/or any room rental. Client also agrees that it is the sole responsibility of this Client to obtain full General Liability Insurance coverage, including Liquor Liability Coverage and Insurance for their Event &/or Stay for $1,000,000 aggregate or more. Arrowhead must receive and approve a copy of insurance coverage within 180 days of Event, or within 1 (one) week of booking, whichever is sooner. Insurance Dec Page, must clearly name our group, as the additional insureds as follows: Arrowhead Manor/Castle Colorado/Marguerite and James Herb, &/or Assigns, ATIMA.
Arrowhead reserves the right to change the décor at Arrowhead in whatever ways it sees fit, so long as it is of a somewhat similar quality and style. Arrowhead also reserves the right to make last minute changes necessary to accommodate guests who are making last minute requests or changes. Client agrees to pay any and all resulting fees as they are incurred immediately upon notification by Inn to client.
The main parking areas closest to the front door are reserved for Overnight Guest Room Parking & ADA parking only. Parking will be pre-arranged, &/or valet-serviced for your party or event, please ask Arrowhead staff beforehand. Clients are required to assure that all Guests & Vendors are adhering to our parking rules. In Client’s communications with all of your Clients, Guests &/or anyone else attending or assisting in your Event or stay, please include directions to our facility (posted on the “directions” page at www.arrowheadmanor.com) as we are often too busy to answer phones to provide them to your Guest(s) on the day of Events. Inn staff & Management is busy during events & cannot always answer phones on those days. So PLEASE give directions to your party in your invitations.
Additional charges will be assessed for any extra cleanup, extra time, extra services &/or items requested or taken. Client and the responsible party individually and jointly do all agree to pay these charges as Client is notified they are due. *
Client agrees to allow Arrowhead to correct any typos or errors in addition on any agreement at any time upon request.
Arrowhead Manor pricing is subject to change at any time until a contract &/or change order has been signed by both parties.
Client agrees that all Clients, and all of Client’s Guests and Vendors attending any event, party, or other or staying at Arrowhead agree to our prices, policies, & procedures listed both herein, and online at http://www.ArrowheadManor.com. *
By receiving this notice, and booking with Arrowhead Manor, Event Space Rental &/or Multiple Room Rental Client(s) do/does hereby agree(s) to all policies listed herein. Client(s), by renting with Arrowhead Manor, Inc., do understand that Arrowhead Manor, Inc., is leasing space from other sources, and that Client(s) is/are subleasing the space(s) from Arrowhead. Client(s) assume(s) all liability & responsibility for Client’s Event &/or Stay both for Client(s) &/or Client’s Guests. Client(s) agree(s) to forever defend and hold Arrowhead Manor and it’s Agents or affiliates harmless for any & all losses, damages, costs &/or any charge or other related costs associated with Events, functions, or Overnight stays at Arrowhead.
It is Client’s responsibility to understand all Arrowhead charges and to ascertain that they have pre-arranged each with Arrowhead. Any changes made to or service(s) added prior to, or at time of Event, and/or not agreed to, in writing, will be charged to Client(s) at Arrowhead’s current charges. Client(s) agree(s) to pay any & all of those charges.
By booking any stay &/or event with Arrowhead Manor I/We (as Client of Arrowhead Manor) understand and agree to all policies, rules and agreements listed herein and also at http://www.Arrowheadmanor.com. The posing of this document, and our prices, and your staying with us, constitutes your party’s full agreement to abide by any and all terms, rules, regulations, and Policies and Prices as they might be posted on our webs and that your booking with us is considered a Contract Agreement and all of the General Policies listed herein are hereby acknowledged & agreed to even if unsigned but services and/or stays or other or any part thereof is enjoyed or used by Client or any party related to Client or if space is held by Client for more than the required number of days as posted on our website for cancellations. I/We understand & will pay, all fees, charges, damages, tax, gratuities & etc., as they are incurred at Arrowhead by & for ourselves, by & for our Guest(s), & by & for our Vendor(s), per the pricing agreed to in writing or if not pre approved in writing, as per Arrowhead’s most current pricing at the time such charges are incurred. We forever warrant & hold Arrowhead Manor harmless for any & all damages &/or charges related to such Event &/or stay at Arrowhead Manor & agree to the rental & use of Arrowhead Manor facilities, services &/or room(s) only as pre-approved by Arrowhead. I/We also agree that I/We, &/or our own Homeowner’s Insurance, &/or Event Insurance, will be solely liable to pay any & all damages, claims &/or losses suffered by ourselves, our Guest(s), our Vendor(s), &/or Arrowhead or it’s Vendors &.or it’s employees &/or staff in relation to our stay & /or Event, including those incurred for any services accepted &/or rendered by me/us, my/our Guest(s), &/or my/our Vendor(s) while anyone related to &/or in attendance of our Event(s) &/or room rental(s), I/We agree to accept full responsibility &/or liability for such. I/We agree to inform all Guests &/or Vendor(s) in our party of all of the policies herein, & to obtain their agreement to such before each and every one of them ever sets foot or even drives onto Arrowhead property. Anyone not agreeing to all policies & procedures listed herein, will not attend any Event or Room Rental at Arrowhead. Any questions or concerns about Arrowhead policies and/or procedures &/or regulations &/or terms of service must be posed and worked out, in writing, prior to any stay &/or Event. To avoid any confusion, all of the below & above, plus any parties, services &/or events should always be priced & pre-approved by Arrowhead & Client(s) beforehand. All paragraphs explain some of the ways in which a Client may incur additional charges. Client should always discuss matters with Arrowhead Manor beforehand & get pre-approval of every event or stay and/or anything they might want to do here, and every single detail beforehand or Client(s) and your party agree(s) to pay any & all incurred charges. If Client uses a non-preferred Vendor &/or Provider (Catering, Bartender, Musician, Spa Service Provider, DJ, Limo or Transportation Services, Photographer, etc.) such Vendor &/or Provider must be pre-approved, and Client does understand there is an additional charge which will be assessed. Client should ask beforehand.
Arrowhead Manor Photography disclosure: All photography at Arrowhead must be prearranged and can be taken during ceremony and dressing time only in areas being rented (and ONLY when preapproved, in writing) unless otherwise agreed. Arrowhead will attempt to take non-professional digital photos, on some elopement/wedding packages, if agreed to, in writing, when no other Client or Guest Photographer is present. These are amateur (non-professional) and so the quality & quantity cannot be guaranteed and are done as a courtesy only. Clients are advised to use their own Client Photographer during event times. Arrowhead photos will be posted to Arrowhead Photo Album website download site within 14-30 days of Event.. The use of a Non-Preferred or Client’s own Photographer is an extra fee, please ask for details. Client and Client’s photographer will be responsible for any &/or all costs, space &/or time rental(s), and any &/or all damages &/or losses incurred as a result of Photography at Arrowhead. Client, Client’s Guests, Client’s Vendors, & /or any professional or non-professional Photographer or Videographer, agree never to post, publish or disseminate any photos of Arrowhead or Arrowhead Staff without Arrowhead pre-approval. Arrowhead Manor reserves rights of 1st refusal on & all rights to all photographs taken of, or at, Arrowhead &/or Arrowhead Staff and to prohibit, receive and enforce for any &all damages or losses and/or deny publication or promotion of any detrimental or altered photos.
For events of 8 or more total Guests, a nonrefundable security deposit/check in the sum of $800.00 minimum may be required and held until after all event charges have been finalized. All events the deposits are nonrefundable unless otherwise written.
Arrowhead Manor may sometimes supply tables and chairs for use during the event (with agreements in writing) with the understanding that the client is responsible for all setup and cleanup. If Arrowhead Manor staff is forced or asked to assist with setup or cleanup, an additional charge of $200.00 and up, based on $18.00 per hour per staff member, and $50 per hour per Manager, will be owed by Client.
Additional event time is billed (depending on the day, ask your planner) between $499.00 and $799.00 per hour (rounded up to the next ½ hour). The official event time begins upon the arrival of the first Guest and ends upon the departure of the last Guest (Guests currently checked in are excepted). Most of the time, unless otherwise agreed to, in writing, Client’s guests should arrive no sooner than 15 minutes before the event time. ASK!
A service charge of 20% (before taxes) will be added to the final balance owed.
On weddings of 12 or more, client may, with advance notice, provide their own music (CDs, MP3 player, etc.), & is thus will be responsible for all music, CD, &/or track changes throughout the event. If Arrowhead Manor staff is asked to assist with music or music changes, at any time during the event, an additional fee of $100.00, plus any additional event time used, may be incurred.ASK!
Event estimates provided prior to the event date do not include vendor taxes, vendor service charges, or vendor delivery charges. These charges will be added to the final balance owed.
Arrowhead Manor will not absorb the cost if any vendors change and/or add to their prices between booking the event and the actual day of the event &/or if additional service attendants or cleanup are required at last minute by either the vendor or Arrowhead Manor. The Client is therefore responsible to pay any and all of any additional charges if incurred by Client or their party.
Rehearsals for large weddings may be available, if agreed to & are to be held three days before the event (e.g. Wednesday rehearsal, Saturday wedding) unless otherwise arranged with Arrowhead Manor consent. If the rehearsal is included in the package price (ask your coordinator), then the first hour of rehearsal time is included at no cost. Extra time is billed at $100 per hour billed in ¼ hour increments. Weddings for less than 30 people don’t include a rehearsal.
I/We, the Client(s), also known as the Sub Leasing Party & Client, &/or Guest, do agree to all of the above & to all Arrowhead Terms & Procedures & Policies and will make sure anyone connected to our Event &/or Stay is also duly informed & agrees prior to the Event.
All pricing & packages are based on the above and other service &/or Overnight Accommodations as described herein &/or on attachments only. Times are approximate based on Arrowhead discretion at time of service. Actual timing may need to be changed by Arrowhead prior to or during the event if any changes are made or problems encountered. Additional items such as additional time, valet parking, aisle runners, food &/or cake service, rose petals, alcoholic beverages, beverage service, water service, centerpieces, table settings &/or gifts, decorations, extra Clients, Vendors, and such other extras not listed, etc. are an additional charge. Ask beforehand to avoid unwanted charges. Additional time is charged at posted per hour prices charged in half hour increments. Sales tax & 20% gratuity will be applied to all event, food & drink costs. Anything not filled in, or explained above, is not included &/or not yet priced out. Client should review carefully to make sure Client understands everything including all abbreviations and that all included services and items are correct and price agreed before signing this agreement
I/We understand that we will also agree to the terms of service of the Catering Vendor Company, Cake & Floral Delivery Vendors &/or Providers, Bar & Bartending Service Provider, and DJ Provider as engaged by Arrowhead Manor, or ourselves and understand that that all pricing listed herein is subject to Vendor availability and pricing variances &/or changes. I/We do agree to all pricing and agreements herein and to and any pricing changes that become necessary at time of the Event or due to changes we make before, as soon as they are charged. We hereby agree that all fax signatures (or missed signatures but obvious agreement by actions of parties) on the behalf of Client are legal & binding. I/We also agree to pay all charges related to this stay &/or event & all related Vendors &/or Providers. Arrowhead is authorized to use the credit card(s) on file as all amounts become due, for all services rendered, or as they are discovered or billed.. This includes all final charges owed which may be charged by Arrowhead after the event. I/We agree that if any part &/or portion of this contract is waived or deleted by Law or by Arrowhead, that all other agreements are still legal, valid, & binding. I /We also agree to settle any disputes that ever arise between Arrowhead and myself/ourselves in Arrowhead Jurisdiction, Jefferson County Colorado.
I/we also agree that if we have received discounts over and above the normal pricing &/or requested any last minute changes to what was originally supposed to be a wedding/elopement package, that we agree that neither us, or our guests, will ever speak poorly of the Inn, the staff or the Management, in writing, or verbally.
I/We we made do ALL agree to all of the terms herein and the following, jointly, individually and severally.
I/We, and all guests who are in attendance here, and everyone related, have agreed, and do all agree, mutually, and severally, jointly and individually, ALL of us here at this event, that we will all, mutually severally, jointly and individually, forever indemnify and hold Arrowhead and its staff and management 100% not in any way liable for, and completely forever, in every way, hold and defend and indemnify Arrowhead harmless for, any and all losses, damages, costs, injuries, death, dismemberment, and/or any other thing, including legal, judicial, attorney, and even administration costs, as they might ever arise or occur, because of this event, whether at the event, before, during and/or even after this event, and/or because of this event and/or because of any person at this event or because of anyone or anything in any way related to and/or involved in this event. I/we agree that all of us in attendance are all mutually, severally, jointly and individually, agreeing to also be 100% responsible for and to self insure this event and each and every and any cost, loss, damage or other event or problem that may ever arise, occur or be created because of it including but not limited to those listed herein.
Note : No refund or discount can be applied in case of no show or where the customer causes additional costs due to late or early arrival and/or late or early departure, and/or problems are caused by Client or Client’s Party, or where Inn has to make last minute changes, corrections, and/or revisions to accommodate actions caused by the Client or CLient’s party.
Refunds on bookings amount if applicable shall be settled by the hotel management to the guests orthe appropriate booking authorities through the commonly agreed channel which may be cash or bank transfers or deposits. The hotel management reserves the right to settle any refund claims as per its convenience.
Note : If client paid twice for one transaction, the one transaction amount will be refunded via same source within 07 to 10 working days
Client(s) understand(s) & agree(s) that Arrowhead is leasing all furniture, fixtures & spaces &/or rooms & that Client(s) is/are, in turn, subleasing such, as applicable. Therefore Client(s) assumes all liability for entire event. Arrowhead will not be responsible for any loss, damage, or injury, bodily or to property that may occur at any function, event &/or stay, from any cause, whatsoever, prior to, during, or subsequent to the period covered by this contract. The Client(s) hereby assume(s) entire responsibility for event &/or room rentals & agree(s) to forever protect, indemnify, defend & save Arrowhead Manor & its employees, &/or officers, &/or any owners of any property leased to Arrowhead, harmless from & against all claims, losses, expenses included without limitation, attorney fees, security expenses, damage, environmental charges or fines arising out of or caused by the installation, removal, maintenance, occupancy, cleanup or use by Client, Client’s Guest(s) &/or Vendors &/or Arrowhead Manor & its Vendors &/or employees. In addition, Client acknowledges that Client and not Arrowhead maintains adequate insurance for this Event &/or any room rental. Client also agrees that it is the sole responsibility of this Client to obtain full General Liability Insurance coverage, including Liquor Liability Coverage and Insurance for their Event &/or Stay for $1,000,000 aggregate or more. Arrowhead must receive and approve a copy of insurance coverage within 180 days of Event, or within 1 (one) week of booking, whichever is sooner. Insurance Dec Page, must clearly name our group, as the additional insureds as follows: Arrowhead Manor/Castle Colorado/Marguerite and James Herb, &/or Assigns, ATIMA.
Arrowhead reserves the right to change the décor at Arrowhead in whatever ways it sees fit, so long as it is of a somewhat similar quality and style.
The main parking areas closest to the front door are reserved for Overnight Guest Room Parking & ADA parking only. Parking will be pre-arranged, &/or valet-serviced for your party or event, please ask Arrowhead staff beforehand. Clients are required to assure that all Guests & Vendors are adhering to our parking rules. I /We also agree to settle any disputes that ever arise between Arrowhead and myself/ourselves in Arrowhead Jurisdiction, Jefferson County Colorado.
I/we also agree that if we have received discounts over and above the normal pricing &/or requested any last minute changes to what was originally supposed to be a wedding/elopement package, that we agree that neither us, or our guests, will ever speak poorly of the Inn, the staff or the Management, in writing, or verbally.
I/We we made do ALL agree to all of the terms herein and the following, jointly, individually and severally.
I/We, and all guests who are in attendance here, and everyone related, have agreed, and do all agree, mutually, and severally, jointly and individually, ALL of us here at this event, that we will all, mutually severally, jointly and individually, forever indemnify and hold Arrowhead and its staff and management 100% not in any way liable for, and completely forever, in every way, hold and defend and indemnify Arrowhead harmless for, any and all losses, damages, costs, injuries, death, dismemberment, and/or any other thing, including legal, judicial, attorney, and even administration costs, as they might ever arise or occur, becuase of this event, whether at the event, before, during and/or even after this event, and/or becuase of this event and/or because of any person at this event or becuase of anyone or anything in any way related to and/or involved in this event. I/we agree that all of us in attendance are all mutually, severally, jointly and individually, agreeing to also be 100% responsible for and to self insure this event and each and every and any cost, loss, damage or other event or problem that may ever arise, occur or be created because of it including but not limited to those listed herein.
I, we agree that Arrowhead may change and/or alter Terms of Service and pricing at any time prior to my/our stay.
